If your event planning company decides to go with external suppliers to provide any of these services, the contract must state in detail who these suppliers are and for which services they are contractual. In your contract and in your planning period, set a due date for the first deposit. Print that you will not start working until the client pays this amount. An event contract is a legally binding document that explicitly defines the contractual conditions between an event organizer and his client. Secondly, these clauses must contain conditions, which constitutes a valid cancellation of the event (perhaps low attendance, lack of funding, damaged location or medical reasons), how long they must be cancelled before being charged the full amount and how much each cancellation point costs in the timeline. Follow the layout of these sample contracts to create your own event planning contract: with the services and materials offered, you must indicate the prices and costs of these items (and, if applicable, you must indicate hourly and hourly rates for event organization contracts). You will also indicate minimum requirements (e.g.B. minimum food and drink purchases or minimum room reservations in the case of a hotel). A good idea here is to add your event proposal, offer or quote as an appendix to the event contract. An event planning contract is your safety net. Never accept work on a purely oral agreement. This is also the case when you are working with a loyal customer with whom you have established a relationship. Not only does the contract protect you financially, but it also prevents unnecessary litigation that can lead to eroded business relationships.

If you offer your customers proprietary processes or disclose trade secrets, you should include a confidentiality agreement (NDA) in your event agreement to protect yourself from disclosure of that information. A business-to-consumer variant of this agreement, as well as a counterpart of terms and conditions, are also available. However, event contractual agreements are beneficial for both you and your client, as they give a clear understanding between the event organiser or venue and the client in black and white. Ideally, it protects both of you, and it`s a good way to explain it to a client who opposes signing an event management agreement that has been established in good faith and easy to understand (so don`t fill your contracts with many complex legal terms without fully describing them). . . .
